JF&CS is now seeking a full-time Clinical Administrative Assistant.

 

PURPOSE:

As an ambassador of First Impressions, we are seeking a full-time Clinical Administrative Assistant who is an excellent communicator, demonstrates compassion and discretion, and embraces the wide community of clients that are served at JF&CS.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

    

Administrative   Duties 

  • · Provide necessary forms to patients for completion and signature if to-dos are not completed.
  • · Responsible for assisting physicians and clinicians with patient care, organizing patient flow, and triaging. 
  • · Sort and deliver incoming mail as needed.
  • · Assist patients and pharmaceutical reps in person or on the phone to provide each patient assistance with insurance authorizations on medication for coverage under their plan. 
  • · Work with other offices and their teams to accurately obtain information needed to process medication prior authorization requests from insurance carriers. 
  • · Work with QB   volunteers to ensure QB testing is covered each week. 
  • · Assist with QB testing (If no volunteer is available, you are the backup person for testing). 
  • · Assist Intake with Screening and Eligibility for all potential clients when needed. 
  • · Schedule QB   testing 
  • · Schedule Neuro and Psychiatric Evaluation and Follow-up Appointments
  • · Scan in, fax, mail clients report to referring Dr. Office
  • · Analyze and adapt client feedback and market trends to ensure sustainable growth. 
  • · Assist with marketing needs for Dr. Schub Services (letter merging,   sending out marketing material)
  • · Attend events that Dr. Schub requests (Marketing purposes)
  • · Follow all agency & HIPAA guidelines regarding confidentiality.
  • · Work with standard office equipment such as fax/copy/scan equipment, postage machines, and other basic office equipment

Reception Duties 

  • · Be available to cover the main reception desk as needed.
  • · Communicate clearly in person and on the phone to establish/maintain cooperative relationships with patients, families, physicians, staff, and management.
  • · Answer all incoming phone calls and route them to the appropriate team member. 
  • · Back up general reception during the day to answer incoming calls.
  • · Monitor the voicemail system and route messages to the appropriate employee.
  • · Greet clients and visitors, creating a warm and welcoming atmosphere.
  • · Operate security doors to ensure safety by confirming guest appointments.
  • · Inform staff of their visitors/clients by phone and/or email. 
  • · Monitor daily appointments through scheduling software. Update client information, working closely with the Billing Specialist to ensure accurate fees.
  • · Communicate and be proactive with clinical staff to ensure the best client experience.
  • · Perform other   duties as assigned

Language Skills: Ability to speak clearly, concisely and effectively. Ability to listen and understand the information and ideas as presented verbally. Ability to communicate information and ideas clearly and concisely in writing and to read and understand information in writing.

 

Mathematical Skills: Ability to calculate figures and amounts. Ability to apply concepts of basic algebra and accounting.

 

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to make a decision or solve a problem by using logic to identify key facts, explore alternatives, and provide quality solutions.

Other Skills and Abilities: Must be computer literate. Must be proficient with software packages such as Microsoft Office, Windows 10, Teams, and Outlook. Must be detail-oriented. Must be able to work with or contribute to a work group or team to complete an assigned task. Must present in a professional manner utilizing appropriate communication, dress, and appearance. Must be able to plan, organize, and prioritize time and workload in order to accomplish tasks and meet deadlines. Must be able to deal with people in a manner that shows sensitivity, tact, and professionalism.

Computer Skills: Comfortable with basic computer programs.

EDUCATION and/or EXPERIENCE:

4+ years experience.

High School Diploma or equivalent.
